Patient Information & Clinic Policies

 

Welcome to Vancouver Island Naturopathic Clinic Inc.

Becoming a patient at our clinic is a two-step process involving both an initial and a second consultation.

Step 1: Initial Consultation

Your first visit includes a comprehensive intake with one of our Naturopathic Doctors:

  • Adults (ages 13+): Up to 1 hour and 15 minutes

  • Children (ages 0–12): Up to 1 hour

During this visit, your ND will:

  • Take a complete personal, medical, and family history

  • Review all current medications and supplements

  • Discuss relevant health concerns in depth

Please bring:
Any recent lab results, imaging, medications, and supplements to this appointment.

Lab Testing:
Your ND may recommend laboratory testing as part of your care. These tests are not covered by MSP but may be reimbursed through your extended health plan.

Step 2: Second Visit

Your second visit is typically scheduled 1–2 weeks after your initial consultation. It includes:

  • A full physical examination

  • The start of your individualized treatment plan

Our NDs also offer:

  • Pap tests, breast/chest, pelvic, prostate, and testicular exams

We support the BC Cancer Agency Pap and Mammogram Screening Programs as part of routine healthcare.

Individualized Care Plans

Our Naturopathic Doctors work collaboratively with you to create a personalized treatment plan based on your condition, goals, and preferences.

  • Follow-up visits vary in length (starting at 10 minutes) and frequency, depending on your treatment plan.

  • Appointment durations are estimated; you’ll be invoiced based on the actual time spent during your consultation.

  • We provide care for all ages and genders.

Prescription Refills

  • Prescription renewals require an appointment with your Naturopathic Doctor.In some cases, your ND may approve a refill without a visit, at their discretion.

  • Refills without an appointment incur a prescription refill fee (not covered by extended health plans and cannot be direct billed).

  • Payment is required in advance before we fax prescriptions to your pharmacy.

Tip: Please book your refill appointments in advance to avoid running out of your prescribed medication.

Third-Party Forms & Administrative Fees

Fees apply for:

  • Completion of third-party forms

  • Notes for work or school

  • Insurance or legal letters

  • Chart reviews and chart copies

Cancellation Policy

We understand that life happens. If you need to cancel or reschedule your appointment, we’re happy to help — but please provide at least 24 hours’ notice.

If you cancel with less than 24 hours’ notice:

  • You will be automatically invoiced a missed appointment/late cancellation fee (50% of the scheduled visit fee) and future appointments must be prepaid by credit card at the time of rebooking

  • Work schedule changes are not accepted as valid reasons to waive this fee.

  • This fee is non-refundable, cannot be direct billed, and is not reimbursed by insurance.

Clinic Respect Policy

We are committed to maintaining a safe, respectful, and inclusive environment for all patients, staff, and practitioners.

Our zero-tolerance policy prohibits:

  • Abusive or inappropriate language

  • Harassment

  • Any conduct that threatens the safety, dignity, or well-being of others

Any violation of this policy will result in termination of care at our clinic.

Communicable Disease Policy

  • Masks are optional, but always welcome in our clinic.

  • If you’re ill but not being seen for that illness, we ask that you switch to a virtual appointment.

  • If you’re attending the clinic for an illness, please wear a mask to help protect others.

When you're sick:

  • Call reception when you arrive and wait in your car (if able), or come directly at your appointment time so we can take you straight into a treatment room.

What We’re Doing to Keep You Safe

  • All staff and practitioners follow WorkSafeBC and current public health guidelines

  • Practitioners wash hands before and after each patient visit

  • Treatment rooms are cleaned and sanitized after each appointment
